Accounting and compliance for farming businesses
Farming carries an administrative load that has almost nothing to do with farming. Seasonal labour that trebles at harvest and has to be registered, paid and reconciled correctly. Input VAT on everything from fuel to fertiliser, set against sales that may be zero-rated. Equipment finance, co-op accounts and a season's costs landing months before the income does.

That's the work we do, and we do it well. We keep the books, run the payroll, handle the VAT and the returns, and make sure the compliance side of a farming operation is never the thing that goes wrong.
Who this is for
- Wine, olive, grain and livestock operations across the Swartland
- Smallholdings and lifestyle farms with commercial production
- Farming businesses carrying seasonal labour
- Operations where the compliance admin has outgrown the kitchen table
What we handle
Seasonal payroll, properly. This is where farming operations most often come unstuck, and it's work we know. Registering and terminating seasonal workers, weekly and fortnightly pay cycles, PAYE, UIF and SDL, EMP201 submissions every month and EMP501 reconciliations twice a year. Sectoral determination requirements for agricultural workers are unforgiving, and the penalties for getting the returns wrong accrue quietly.
VAT. Farming operations typically carry substantial input VAT against sales that may be zero-rated, which means regular refund positions — and refund positions attract SARS verification. We prepare returns that reconcile to your records and assemble the supporting documentation before SARS asks for it.
Monthly bookkeeping and management accounts. Co-op accounts, equipment finance, fuel, contractor payments and input costs, reconciled monthly so you know your cost per hectare while the season is still running.
Annual financial statements and company compliance. Full sets of statements, CIPC annual returns, beneficial ownership filings, and the statutory records that a farming company or trust needs kept current.
Income tax returns for the farming entity, the individuals behind it and any associated trusts.
Where we bring in specialist support
Farming has its own tax regime under the First Schedule to the Income Tax Act — livestock and produce valuation, capital development expenditure, the averaging election available to individual farmers, and the ring-fencing rules that apply to farming losses. Diesel rebates sit under separate legislation again.
These provisions can materially change what a farming business pays, and they reward being planned for rather than discovered afterwards. Where a matter falls into this territory, we bring in technical specialists from The Tax Shop's national network — which is one of the real advantages of being part of a group with over 100 offices rather than practising alone.
We'd rather tell you plainly where the line is than have you find out later.
What it costs
Price on request
Priced on transaction volume and seasonal headcount, with the payroll component scaling through the season. Specialist advisory work, where it's needed, is quoted separately so you can see it clearly.
Getting started
- Tell us about the operation — what you produce, your seasonal labour pattern, your current setup
- We'll map what's required across payroll, VAT, tax and CIPC, and flag anything outstanding
- A fixed monthly quote covering the compliance work, so the admin stops being your problem
Common questions
Do you specialise in farm taxation? We handle the accounting, payroll, VAT and compliance work that farming businesses need every month, and that's the bulk of it. For First Schedule planning — livestock valuation, averaging elections, capital development deductions — we draw on specialist support within the Tax Shop network. We'd rather be clear about that than overstate it.
My seasonal workers change every year. How does payroll work? That's normal and we're set up for it. Workers are registered and terminated as the season requires, and your monthly returns reflect the actual headcount each period rather than a fixed establishment.
I'm usually in a VAT refund position and SARS keeps verifying me. Is that normal? For farming operations, yes — regular refunds attract routine verification. What determines how long it takes is how quickly and completely you respond. We keep the supporting documentation assembled so a verification is a two-day job rather than a two-month one.
We farm as a family, across a company and a trust. Can you handle that? Yes. Multiple entities are common in farming and we'll keep the books, statements and returns straight across all of them. Where the structure itself needs review, we'll say so and bring in the right input.
