FTR Accounting Services CC trading as The Tax Shop Accountants Riebeek Kasteel (“TSRK”, “we”, “us” or “our”) is committed to protecting your personal information in line with the Protection of Personal Information Act 4 of 2013 (“POPIA”) and other applicable South African law.
This Privacy Policy explains how we collect, use, share, store and protect personal information when you use our website at https://taxshoprk.co.za (and related Afrikaans routes under /af), contact us, download resources, use our online tools, or engage us as a client.
This practice is an independently owned franchise office of The Tax Shop network. The franchisor (The Tax Shop Franchise (Pty) Ltd) publishes its own head-office privacy policy at taxshop.co.za. This Policy applies to personal information processed by this practice (TSRK).

2. Scope
This Policy applies to personal information of:
- Website visitors and people who use our contact, enquiry, lead-magnet or tool forms;
- Prospective and existing clients (individuals and organisations);
- People whose information is provided to us in the course of an engagement (for example directors, employees on a payroll, or beneficial owners); and
- Suppliers and other parties we deal with in running the practice.
3. Personal information we collect
We only collect information that is adequate, relevant and not excessive for the purposes below. Depending on how you engage with us, this may include:
3.1 Identity and contact details
- Name and surname;
- Email address, telephone number and physical or postal address;
- Company or trading name and your role;
- Identity, passport or company registration numbers where required for professional services or legal compliance.
3.2 Website and technical information
- IP address, browser type, device information and approximate location derived from IP;
- Pages visited, referring URLs and usage statistics;
- Cookies and similar technologies needed for the site to function (for example session and security cookies) and, where enabled, analytics cookies.
3.3 Enquiries, tools and downloads
- Messages and enquiry details you submit;
- Information you enter into interactive tools (for example share certificate or tax calculator inputs);
- Marketing preferences and consent records.
3.4 Client service information
When you become a client we may process financial, tax, payroll, banking, SARS, CIPC and related records needed to deliver accounting and tax services, including information about third parties you lawfully provide to us (for example employees for payroll).
4. How and why we use personal information
We process personal information only where a lawful basis under POPIA applies, including consent, performance of a contract, a legal obligation, or our legitimate interests (balanced against your rights). Purposes include:
- Website and enquiries — responding to contact and service forms, providing downloads and tools, and preventing abuse of the site;
- Professional services — delivering accounting, tax, payroll, compliance and related work you request;
- Legal and regulatory compliance — including obligations under POPIA, tax legislation, FICA (where applicable), and professional requirements;
- Practice administration — billing, quality, security, staff training and handling complaints;
- Marketing — only where you have opted in or another lawful basis applies; you may opt out at any time.
5. Sharing of personal information
We do not sell personal information. We may share it only as needed with:
- Service providers (operators) — for example hosting, email delivery, cloud accounting or payroll platforms, under agreements requiring appropriate protection;
- The Tax Shop Franchise — where franchise support, compliance or quality processes require it, subject to data-protection obligations;
- Regulators and authorities — including SARS, CIPC, the Financial Intelligence Centre and other bodies when legally required;
- Professional advisers — such as attorneys or insurers, under confidentiality.
Some providers may process information outside South Africa. Where that happens, we take steps consistent with section 72 of POPIA so that personal information remains adequately protected.
6. How long we keep information
We keep personal information only as long as needed for the purpose collected, or longer where the law requires. Typical periods include:
- Website enquiry and lead records — as long as needed to respond and for reasonable follow-up, then for a limited period for legitimate business and legal purposes;
- Client engagement and tax records — generally at least five years from the end of the engagement or relevant submission, or as required by tax and professional rules;
- Marketing consents — for the relationship plus a short period thereafter, or until you withdraw consent.
7. Security
We implement reasonable technical and organisational measures to protect personal information against loss, unauthorised access, destruction or disclosure. No internet transmission is completely secure; we work to reduce risk and to respond appropriately to security compromises as required by POPIA (including notifying you and the Information Regulator where required).
8. Your rights under POPIA
Subject to the Act, you may:
- Request access to personal information we hold about you;
- Request correction or deletion where we are no longer entitled to keep it;
- Object to processing in certain circumstances (including direct marketing);
- Withdraw consent where processing is based on consent;
- Lodge a complaint with us or with the Information Regulator.

9. Children
Our website and services are aimed at adults and businesses. We do not knowingly collect personal information from children under 18 without appropriate consent of a competent person.
